California Privacy Notice
Effective date: November 2026.
This notice supplements our Privacy Policy and applies to residents of the State of California under the California Consumer Privacy Act of 2018 (“CCPA”) as amended by the California Privacy Rights Act of 2020 (“CPRA”).
1. Personal information we collect
We collect the following categories of personal information, all of it provided by you or by the HOA / property manager that invited you:
- Identifiers: name, email address, phone number, account ID.
- Customer records: mailing address, unit number, role within your community.
- Commercial information: dues payment history, fee balance, vendor invoices submitted.
- Internet/electronic activity: pages visited, features used, IP address, browser/device info.
- Inferences: none — we do not build user profiles for advertising.
2. Sources of personal information
Directly from you when you register or interact with the app; from the HOA or property manager that adds you to a community; from Stripe when you make a payment; from your browser when you visit our site.
3. Purposes
We use the information to provide the TractOps service, process payments, send transactional email, prevent fraud, comply with law, and improve the product. We do not use it for advertising or behavioural profiling.
4. Disclosure of personal information
We disclose personal information only to:
- Service providers strictly necessary to operate the service (Vercel, Neon, Stripe, Resend — see our DPA).
- The HOA or property manager who is the controller of your data within TractOps.
- Authorities when required by law, subpoena, or court order, on the narrowest basis possible.
5. We do not sell or share your personal information
TractOps does not sell personal information, and does not share personal information for cross-context behavioural advertising. We have not sold or shared personal information in the preceding 12 months and do not have any plans to do so. We do not have actual knowledge of selling or sharing the personal information of consumers under 16 years of age.
6. Your rights
If you are a California resident, you have the right to:
- Know what personal information we hold about you.
- Access a portable copy of that information.
- Correct inaccurate information.
- Delete your personal information, subject to legal obligations we may have to retain certain records.
- Limit the use of sensitive personal information (we don't process any).
- Opt out of any future sale or sharing (we don't sell or share — this right is forward-looking).
- Non-discrimination — we will not deny service or change prices because you exercised these rights.
7. How to exercise your rights
Email contact@tractops.com with the subject line [CCPA request] from the email address on file for your account. We may need to verify your identity before processing the request. We will respond within 10 business days to confirm receipt and within 45 days to fulfil the request (extendable once by an additional 45 days, with notice to you).
8. Authorised agents
You may designate an authorised agent in writing to make a request on your behalf. We may require the agent to provide proof of authorisation and may require you to verify your identity directly with us.
9. Retention
We retain personal information for as long as your account is active, plus a 30-day window after termination for export, plus any time period required by law (typically 7 years for financial records).
