Getting started
What does TractOps do?▾
It manages every operational side of an HOA, COA, or POA — dues collection, board communication, voting, maintenance requests, document storage, finance, and resident engagement. Property managers get a multi-community portal; boards get a per-community workspace.
How long does it take to onboard a community?▾
60–90 minutes for a community with ≤100 units. You upload a unit/owner CSV, set monthly dues, invite the board, and you're live the same day. We'll walk you through the first 60 minutes on a Zoom call at no charge.
Can I import data from AppFolio / Buildium / TownSq?▾
Yes — we accept any CSV. For AppFolio and Buildium exports we have a guided mapper; for others we'll do a one-time manual import (free for your first community).
Do I need to install anything?▾
No. TractOps runs entirely in the browser. iOS and Android apps are on the roadmap, but the mobile web app works on every modern phone today.
Pricing & billing
How does pricing work?▾
Per-unit, per-month, billed monthly or annually. Standard is $1.99/unit/month and Premium is $3.49/unit/month. A 100-unit community pays $199/mo on Standard or $349/mo on Premium. There's a 30-day free trial — no credit card required.
What's the difference between Standard and Premium?▾
Standard covers dues, announcements, members, basic finance, and document storage. Premium adds the AI Board Secretary, elections/voting, vendor marketplace, AI document analysis, advanced finance (GL accounting), and priority support.
What happens if my unit count changes?▾
You can update the unit count from your dashboard at any time. We adjust the next invoice — pro-rated up if you add units, credited on the following invoice if you remove units.
Do you offer refunds?▾
Yes. See our refund policy. Short version: 30-day money-back guarantee on annual plans, pro-rated refund on monthly plans within 7 days of charge.
What payment methods do you accept?▾
Visa, Mastercard, American Express, Discover, and ACH bank debit (US only). We use Stripe — your card details never touch our servers.
Will I be charged sales tax?▾
Depends on your state. SaaS is taxable in NY, PA, TX, WA, OH, CT, MA and a few others; not taxable in CA, FL, NV, OR, CO. Stripe Tax calculates and shows the rate at checkout.
Security & data
How is my data secured?▾
Encrypted in transit (TLS 1.2+) and at rest (AES-256 via our database provider). Passwords are hashed with bcrypt (cost factor 12). JWT tokens expire after 1 hour. We follow OWASP Top 10 in the codebase.
Who owns the data?▾
You do. TractOps stores it on your behalf under our Data Processing Addendum. You can export everything to CSV from your dashboard, and we'll delete on request per our Privacy Policy.
Are you SOC 2 / HIPAA / GDPR compliant?▾
We're not SOC 2 audited yet (roadmap: 2026 Q4 for SOC 2 Type 1). HIPAA isn't applicable — we don't process health data. GDPR: yes, we honour data-subject access requests within 30 days and offer DPAs to EU customers; we use Standard Contractual Clauses for transfers.
Do you sell my data?▾
No. Ever. See the CCPA notice for the formal "we do not sell" disclosure.
Where is the data hosted?▾
Primary: AWS us-east-1 (via Vercel + Neon). Daily encrypted backups retained for 30 days. We can support EU hosting on enterprise plans.

How do I reach support?▾
Email contact@tractops.com any time, or use the in-app help widget. Hours: 9 AM – 6 PM Pacific weekdays. Response targets are detailed in our SLA.
What's the response-time SLA?▾
Urgent (P1 outage) — within 1 hour, 24/7. High (P2 degradation) — within 4 business hours. Normal (P3 question) — within 1 business day. Low (P4 feature request) — within 5 business days.
Do you have phone support?▾
For Premium customers, yes — scheduled calls within 24 hours. Standard customers can request a call after an initial email exchange.
Property managers
How is TractOps different from AppFolio / Buildium?▾
Those are general property-management systems with HOA as a side feature. We're HOA-first: every screen is built for a 50–500-unit community, the board is a first-class entity, and AI features (board secretary, document Q&A) are built in. We're also 30–50% cheaper at typical PM volumes.
Can I manage multiple HOAs from one account?▾
Yes — the property-manager portal at
/pm shows every community in your portfolio. Unit counts roll up to a single invoice.Do you integrate with QuickBooks?▾
QuickBooks Online integration is on the roadmap for 2026 Q3. Today you can export GL entries to CSV/IIF.
Cancellation & data export
How do I cancel?▾
Dashboard → Settings → Billing → Cancel. Your data stays accessible for 30 days after cancellation. Monthly: cancel anytime, no fee. Annual: see refund policy.
Can I export my data before cancelling?▾
Yes. Dashboard → Settings → Export. You get a ZIP with CSVs for owners, units, dues, transactions, announcements, documents (with links), and a JSON dump of audit logs.
